U3A Tea Tree Gully is a not-for-profit learning community and mutual-aid movement. Our refund policies are appropriate to our structure, purpose and objectives. Refunds will only be considered and, in its absolute discretion allowed, by the Committee of Management in accordance with the following guidelines.
Membership subscriptions apply to each calendar year and members must be financial in order to attend face to face or virtual classes. In general, membership subscriptions are non-refundable except in unusual circumstances and only if a request for refund is made within three months of payment. For example, a request for refund would be considered favourably if a member joined in order to attend a specific class and was subsequently unable to attend owing to the class being cancelled or over-subscribed. Any other case would be considered on its merits.
Class fees are non-refundable since they are typically only payable when a member attends a class at a location or virtual meeting platform, where they are charged. For some courses, e.g. Wine Appreciation Course, up-front payment of fees may be required, typically for a full term. Refunds of such fees may be made in cases of severe illness or other hardship which prevents the member from attending all or part of a course and are in line with Australian consumer laws.
Donations made to U3A are accepted and used for the benefit of the wider U3A membership. Use of donations are determined by the U3A Committee of Management and may be viewed in the audited and published accounts of U3A. Members making a donation may contact the U3A Committee of Management for follow-up of any matter specific to their individual donation.
In respect of events such as Christmas lunches, visits to industries and places of interest arranged for members, including those organised by the Social Committee for which a fee is collected in advance from members, refunds will be made to members cancelling their booking if cancellation is made at least 7 days before the event commences, and in sufficient time that U3A will not incur any costs because of the cancellation. In cases of severe illness or other hardship, U3A may waive this condition. In the case of group theatre parties or other ticketed events, no refund will be made once a ticket has been purchased with that member’s payment. U3A reserves the right to cancel any event for reasons such as weather conditions, insufficient members’ support or any other reason in its discretion, in which case booking fees will be refunded to members.
U3A is not a supplier of goods and therefore do not require a Returns Policy.
Collection, Use and Disclosure of Personal Information
U3A Tea Tree Gully (U3A) collects personal information when individuals apply for membership, either online or using a printed form. The information collected includes contact details, amount and method of payment, and optional information about the member's skills and experience which may be of assistance to U3A in a volunteer capacity. This information is used for the purpose of administering the affairs of U3A and communicating with members. Any other disclosure will only be with the individual's prior consent or as required by law. Personal information is also collected about individuals making enquiries about U3A and its work, whether by post, telephone, or e-mail. This information is used to respond to the enquiry, and for subsequent follow-up if required. U3A will not disclose information about enquirers without their consent or as required by law. U3A does not insist on enquirers identifying themselves, respecting their right to remain anonymous, but this may limit our ability to respond and assist them.
As common with web sites, when someone accesses U3A's web site, log files are generated by the web server that show the IP address of the visitor, date, time, and pages visited. U3A may review information in web site logs from time to time and logs are periodically deleted. Information in web logs is used in an aggregated form to generate statistics about access to our site.
U3A does not and will not sell, rent or share our membership database or membership mailing list. U3A uses e-mail to communicate with members.
Credit Card Security
U3A takes your credit card security very seriously, using the latest technology to ensure all electronic transactions are safe and secure. We do not process or store credit card information on our own or the MyU3A servers. Instead, we utilise third party secure gateway providers who have been accredited as PCI DSS (Payment Card Industry Data Security Standard) compliant.

U3A keeps membership and mailing list subscriber details and web server logs on controlled facilities that are secured against unauthorised access. Proof of identity is required before information is released to any person, including a member.
Access, Correction, Update or Deletion of Personal Information
U3A Members with online access to their own personal information may see what information U3A holds about them, or to correct or update this information. Members may also contact us by post, email or phone, to see what information is held about them, or to correct or update this information, or to be removed from our membership database and/or mailing list.
